How do I keep my account safe?The platform was built with security and privacy in mind, but it’s important that both user and managers work together to keep it safe. 1. Use a unique password. 2. Use two factor authentication (2FA) for your e-mail account (Gmail, Outlook etc) to avoid hackers requesting a new password. 3. Use two factor authentication (2FA) for your LearningStone password (certainly if you are a manager). Did you know that most password managers make it much easier to use 2FA? |
How do I keep my workspace safe?As a workspace manager, you can do a lot to keep your workspace safe. 1. Archive groupspaces that are not in use. 2. Remove groupspaces that you really don’t need (simply go Catalog > archive and choose “Delete permanently” the menu next to the groupspace name). 3. Require all managers to use two factor authentication (2FA) for their accounts. 4. Remove managers who have left your organisation (see below). 5. Always react quickly to complaints or comments by your members. 6. Be careful with downloaded reports and data. |
How do you remove managers and other members that have left the organisation?As a manager you can go to “Organise members” and simply move the member to “Access ended” if you need to keep the data connected to this person or otherwise to “Removed”. You can also click on a profile picture and then “PowerAdmin” for a list of the groupspaces that you manage with this person as a member. It’s best if the workspace manager does this, as the person will be removed from all groupspaces in the workspace (or workspaces, if there are more). 1. In Organise members: move the member to “Access ended” 2. In the PowerAdmin view: Choose “Remove from groupspace” in the menu to the right of a groupspace. 3. In the PowerAdmin view: Select all groupspaces and choose “Change role” and set the role to “ Access ended” or “Removed”. |
